If you've recently set up as a contractor in Ireland, VAT is one of those topics that tends to come up quickly  and cause a fair bit of confusion. Do you have to register? When does it kick in? And once you are registered, what exactly are you supposed to do?

How Icon Accounting Handles Your VAT

The way your VAT is managed depends on the contracting structure you're operating under. Here's how it works across each of our three solutions:

PAYE Umbrella Company

Under our PAYE Umbrella Company solution, you operate through an intermediary company structure. The company is already VAT-registered, and all necessary certificates and tax clearance documents are in place ready to provide to your agency or client at any time. From a VAT perspective, you don't need to do anything. We provide your agency with the required documents, charge VAT on your invoice on your behalf, and declare the VAT to Irish Revenue. It's fully taken care of.

Director Umbrella Company

Our Director Umbrella Company solution works in exactly the same way. The company is already VAT-registered and has all the necessary compliance documentation in place. We manage the invoicing, apply VAT correctly, and handle all declarations to Revenue on your behalf. Again, there is nothing you need to do from a VAT perspective. We manage everything end-to-end.

Personal Limited Company

If you choose to operate through your own Personal Limited Company, we can manage your VAT registration as part of the company set-up process. Once registered, we can also handle your invoicing to ensure VAT is applied correctly, and manage all VAT returns required throughout the tax year. This is included under our fully managed servcie offering. So whether you're just getting started or already trading, we take the complexity of VAT off your plate!

What Is VAT?

VAT (Value Added Tax) is a consumption tax charged on most goods and services in Ireland. As a VAT-registered contractor, you charge VAT on top of your fees, collect it from your clients, and then pay it over to Revenue. You can also reclaim the VAT you've paid on your own business expenses. In effect, you act as a VAT collector on behalf of the state.

Irish VAT Rates Explained

Not all goods and services are taxed at the same rate. Here's a quick overview of the rates that apply in Ireland:

For the vast majority of Irish contractors, particularly those in IT, finance, consulting, marketing, or professional services, the standard 23% rate applies.

Claiming VAT Back on Business Expenses

One of the main benefits of VAT registration is that you can reclaim the VAT you've paid on qualifying business expenses. As a contractor, you may be able to reclaim VAT on:

  • Laptops, monitors, and other IT equipment
  • Software subscriptions and tools
  • Office supplies and stationery
  • Professional training and CPD courses (where VAT applies)

Important to note: Keep your receipts. Revenue can run audits going back to 4 years, so always retain receipts for any business expense you are claiming – you can do this through your Icon Accounting app and portal.
